Admin Settings - HubSpot Integration

You can import data from ProsperFleet directly into HubSpot.

This is a one-way integration, so data can be pushed from ProsperFleet to HubSpot.

Compatibility with HubSpot Hubs and Plan Levels

ProsperFleet will integrate with Marketing, Sales and Operations Hubs.

ProsperFleet works with all plans: Free, Starter, Professional and Enterprise.

HubSpot’s Starter, Professional and Enterprise plans give you 1,000 custom properties per object – this is plenty of room for ProsperFleet data!

If you have HubSpot’s Free plan: You can create maximum 10 custom properties for Contact and Company objects. Custom properties are “new” fields that don’t already exist in HubSpot’s default fields. Much of ProsperFleet’s value is proprietary fleet and vehicle data. So these would be custom fields. Consider using the 10 custom properties for data that’s important to you, that you don’t get in other B2B data sources. Please note, this is a limitation from HubSpot, not from ProsperFleet. If you want more than 10 custom properties, contact your HubSpot sales rep.

How to Integrate ProsperFleet with HubSpot

You will need Super Admin status in HubSpot to do this integration.

To set up this integration, click the gear icon in the side menu to go to Admin Settings.

Then, click on Manage Integrations.

Next, choose the HubSpot account that you want to connect with. HubSpot will lead you through the connection steps.

When HubSpot is connected to ProsperFleet, click on Edit to go to Field Mapping.

Required Fields

Five fields are required to be created in HubSpot, and mapping is locked for these fields. You will see on the Field Mapping page, these fields are gray and not editable. All five fields are critical for future matching of ProsperFleet company and contact records if they are imported again into HubSpot:

Companies:

  • Source
  • ProsperFleet Company ID
  • ProsperFleet Location ID

Contacts:

  • ProsperFleet Contact ID
  • ProsperFleet Company ID

The Source and ID fields will allow HubSpot to update previously-imported ProsperFleet records, if you import those records again due to updates or additional data available for those companies or contacts.

These five fields will be automatically created in HubSpot, and automatically populated when you import data from ProsperFleet into HubSpot. We recommend that you do not edit or delete these fields in HubSpot.

Optional Fields

The remaining fields are optional. You can choose to map as many or as few as you like. The fields are organized into tabs at the top of the Field Mapping: Companies, Contacts, Fleet.

  • Companies and Fleet fields will map to Companies in your HubSpot Account.
  • Contacts fields will map to Contacts in your HubSpot Account.

To switch to a different tab, simply click on it.

The fields in the left column are ProsperFleet data fields. The fields in the right column are where you choose HubSpot fields to map the ProsperFleet fields. You may have existing fields in HubSpot that match to the ProsperFleet fields. And, you may likely need to create some new HubSpot fields.

The default setting for Field Mapping is “None.” We currently do not auto-detect HubSpot fields, so the next step is to manually choose which HubSpot fields to map to the ProsperFleet fields.

Read-Only fields in HubSpot will not be included to map with ProsperFleet.

Test Your Integration

Test that the integration is working as intended by downloading one or a few records to HubSpot.

If there are errors with HubSpot field permissions, all companies in a download file will fail to import to HubSpot. So, it’s good to test the integration with a few records first, before doing bigger imports.

The Create Date and Last Modified Date fields in HubSpot will automatically populate. To check that records are successfully importing or updating in HubSpot, add the Create Date and Last Modified Date fields to your Companies view in HubSpot. Sort to see the most recent created or updated records at the top of the list:

Credit Use

When you download data to HubSpot, credit use works the same as it does when you download data from ProsperFleet into csv Excel files.

Data will be imported into HubSpot and as a backup, you will also receive a csv file link via email. You can also access the download again within ProsperFleet, on the Downloaded Records page.

HubSpot Error Codes

When you download to HubSpot, you will also still receive an Excel file with company and contact data you downloaded.

This Excel file includes column that shows HubSot error codes if there are any issues. Visit HubSpot’s article about errors to find out what these codes mean.

Disconnect HubSpot Integration

If you need to disconnect the HubSpot integration, go to the ProsperFleet Settings > Manage Integrations page, and click Disconnect.

It will ask to confirm that you want to disconnect.

ProsperFleet will maintain the field mapping, in case you are disconnecting temporarily.
